# Manage funds and giving

> Create funds, review gifts, record offline giving, and reconcile M-Pesa statements.

The **Funds** menu opens the **Giving** workspace. Use it to set up the church's giving categories, review gift records, record cash or cheque gifts, and reconcile M-Pesa statement lines. Your role controls which tabs and actions are available. If you cannot open Giving or an action is missing, contact your church administrator.

## Create a fund

Create a fund before recording gifts against it. A fund can be available church-wide or limited to selected departments.

1. Open **Funds**, then select the **Funds** tab.
2. Select **New fund**.
3. Enter the fund **Name**. Add a **Code** and **Description** if your church uses them to identify funds.
4. Choose a **Currency**. A fund needs a currency before you can set a **Project target** or record an offline gift.
5. Under **Departments (optional)**, leave the list empty for an organization-wide fund, or select the departments that should use it.
6. Enter a **Project target (optional)** if the fund has a goal. The target appears as progress on the **Campaigns** page.
7. Set **Sort** to control the fund's order, and select **Default fund** if this should be the default choice.
8. Select **Create fund**.

Select a fund row to open its details. To change it later, use that row's **Edit** action and select **Save changes**. You can also use **Delete** when the fund should be removed. Once a fund has settled gifts, its currency cannot be changed; create a separate fund if you need to collect in another currency.

## Review giving totals

The **Overview** tab shows giving totals by currency, a trend for the last eight weeks, and a **Roll-up by fund** table. Use the currency selector to change which currency the summary displays. Gift and donor totals are grouped by the selected currency; gifts in other currencies are not converted into it.

## Find and review gifts

1. Open the **Gifts** tab.
2. Narrow the list with **Fund filter**, **Status filter**, **From date**, or **To date**. Select **Clear** to remove the filters. There is no text search on this tab.
3. Select a gift row to open its details, including its fund, source, method, received date, staff note, and settlement or refund information when available.

Gifts awaiting manual confirmation can be reviewed individually with **Confirm** or **Reject**, or selected together and handled with **Confirm selected** or **Reject selected**. Check the gift details and any donor-reported payment time before confirming. If your role allows refunds, open the gift and use **Refund**. The dialog accepts partial refunds as a whole number in the currency's smallest unit; leave the amount blank to refund the full remaining balance. If you are unsure which number to enter, check with your finance administrator before submitting a partial refund.

## Record a cash or cheque gift

Use **Record offline gift** when the church has already received a cash or cheque gift outside the app. This records it as received; it is not a request for a member to confirm later.

1. In **Gifts**, select **Record offline gift**.
2. Find and select the existing member under **Donor**.
3. Select an active **Fund** with a currency set, then enter the **Amount**.
4. Choose **Cash** or **Cheque** under **Method**. If you choose **Cheque**, enter the **Cheque number**.
5. Enter **Date received** and, if useful, **Note (optional)**, then select **Record gift**.

Use the received date from your church's records. If member search is unavailable, ask your administrator for help rather than recording the gift against a different person.

## Import an M-Pesa statement

The **M-Pesa** tab lists statement lines by status: **Unmatched**, **Posting**, **Posted**, **Ignored**, or **Reversed**. Already imported receipts are skipped when you upload the file again.

1. Open the **M-Pesa** tab and select **Import statement**.
2. Choose the statement CSV with **Choose CSV file**.
3. Review the number of readable rows and any unreadable rows reported in the dialog.
4. Select the **M-Pesa account**. You can optionally choose a **Default fund** for eligible KES gifts.
5. Select **Upload** and review the result counts. Some lines may post automatically; others may remain unmatched for staff review.
6. Return to the list and use the **Line status** filter to find unmatched lines.
7. For a line you can identify, select **Assign**, choose the **Donor** and **Fund**, then select **Assign**. To keep a line out of the gift ledger, select **Ignore line** and enter a reason. Ignored lines remain in the record and do not become gifts.

If no M-Pesa account is available, ask your church administrator to check the payment setup. For connection setup, see [Payment integrations](/portal/integrations/payments).
