# Manage departments

> Organize department members, enabled modules, visibility, and department workspaces.

Departments organize church teams and ministry work. Each department has its own member roster, role assignments, enabled modules, and department-scoped workspaces.

If you need to create a department, follow [Create a department](/departments/create-department). This guide covers finding and managing departments after they are created.

## Find and open a department

1. Open **Departments**. The list shows department cards with the department name, **Draft** or **Live** status, and its description or URL slug.
2. Select a card to open its details. Select **Refresh** to reload the list.
3. Select **New department** if you have access and want to start a new department. See [Create a department](/departments/create-department) for the setup steps.

If a department is missing or you cannot open it, ask your church administrator to check your department access.

## Use the department tabs

The department page has these tabs, depending on your access and configuration:

* **Modules**: review the modules available to the department and whether each is on or off. Staff with module-management access can switch a module on or off. A **No member app tab** badge means that enabling the module does not add a tab to the member app.
* **Members**: review department membership, roles, leaders, and pending invitations. See [Manage department membership](#manage-department-membership) below.
* **Workflow**: view the department's workflows, see whether they are active or published, and open one or create a new workflow. See [Set up and use Workflows](/portal/workflows).
* **Events**: create and manage events scoped to this department. See [Create and manage an event](/portal/events).
* **Funds**: review funds available to this department. See [Manage funds and giving](/portal/funds).
* **Announcements**: manage posts for this department. This tab appears only when the **Announcements** module is enabled. See [Create and manage an announcement](/portal/announcements).
* **Settings**: change the department's details, appearance, publishing status, visibility, or logo.

Which tabs and actions you can use depends on your role, the department's modules, and the relevant access for each feature. Turning on a module makes that feature available for the department; it does not grant every department member permission to manage it.

## Manage department membership

Open **Members** to see the department's member count, leaders, and any pending invitations. This is the department roster, which is separate from the church-wide **Members** directory.

To add someone, select **+ Add member**:

1. In **Directory**, search by name or email and select a person who is not already listed. This option appears when your role can browse the church directory.
2. If you cannot browse the directory, or need to invite someone by address, choose **By email**, enter an **Email** and optional **Name**, then select **Send invite**.
3. Pending invitations appear in the roster. Use **Resend invite** if the person needs another invitation, or **Revoke** if they should no longer be able to accept it.

For active roster members, the actions menu may include **Make leader** or **Remove as leader**. These actions use the department's leader and member roles when available. Use **Remove from department** to remove someone from this roster; this does not delete their church account or other access. The confirmation warns you if you are removing yourself or the department's only leader.

The **Role** in this tab is the person's role in this department. It is separate from their church-wide role shown in the **Members** directory.

## Update department settings

Open **Settings** to change these fields when you have department update access:

* **Name** and optional **Description**. The description appears across the portal and app.
* **Colour**, used to identify the department in the interface.
* **Status**: **Draft** or **Live**. Draft departments are hidden from member browsing and public views; use **Live** when the department is ready to be available according to its visibility.
* **Visibility**: **Private** means only its department members see it; **Members** means any signed-in church member can find it; **Public** also shows it publicly for your church.
* **Logo**: paste an HTTP or HTTPS image URL, then select **Save changes**, or select **Upload image** for a square PNG, JPEG, or WebP file up to 2 MB. Uploaded logos save right away; a pasted URL saves when you select **Save changes**. Use **Remove** to clear the logo.

Select **Save changes** after editing fields. Use **Discard** to restore the saved values and clear unsaved edits. The URL slug is set when the department is created; it is not part of **Settings**.

## Delete a department

The **Danger zone** is available only to staff who can update and delete the department. **Delete department** permanently removes the department, its member roster, roles, and module configuration. This cannot be undone. Confirm that the department should be deleted before selecting the final **Delete department** action.

If **New department**, a tab, or a settings action is unavailable, contact your church administrator. Department and module access are controlled separately.
