# Web portal modules

> What each area of the Faithloft staff portal helps you manage.

The staff portal groups church work into modules. Your menu depends on your role, and some modules only appear when your church or department has access to them. If a page or action is missing, contact your church administrator.

Use this page to find the right area. For sign-in help, see [staff portal sign-in](/quickstart). For a department setup walkthrough, see [create a department](/departments/create-department).

## Dashboard and reporting

### Dashboard

The **Dashboard** gives you a current snapshot of activity across your church. It brings together member and department counts, giving trends and funds, upcoming events, items needing attention in **Approvals**, and recent activity.

Use the refresh control to reload the snapshot. If your church works in more than one currency, use the currency selector to change the amounts shown.

### Reports

Use **Reports** to review activity for a selected period. Reports can include member growth, giving trends, and other sections your role can view. The page may also offer AI-generated insights when that feature is enabled for your account.

Choose a reporting period at the top of the page. If a section is unavailable, ask your administrator about your access or church setup.

### Organization

Use **Organization** to view branches, branch health, and roll-up totals across your church's organization. Switch between **Grid** and **Tree** views, then select a branch to see its details.

Leaders with the required access can create a branch, push shared setup, or transfer members between branches. The expandable menu can also include cross-branch lists for members, departments, roles, events, transfers, and activity. See [Manage your church organization](/portal/organization) for the detailed steps.

## People and teams

### Members

**Members** is the church directory for people, their roles, and account status. Search the list or filter it by status to find a person.

Staff with member-management access can invite a member or import a member list from CSV. Open a member to view the profile and available account actions. See [Manage members](/portal/members) for invitations, CSV imports, account status, and profile actions.

### Departments

**Departments** organize teams such as Worship, Outreach, or Youth. Each department can have its own members, access, and enabled modules.

Staff with access can create a department, add its members, and manage its details, modules, and department workspaces. Follow [create a department](/departments/create-department) for setup, or see [Manage departments](/portal/manage-departments) for memberships, modules, and settings.

### Roles & permissions

Use **Roles & permissions** to see the roles available to your church and the access each role provides. The **Roles** tab is for creating and managing roles; the **Permissions** tab explains the available access areas.

Changes to roles can affect what staff see and do in Faithloft. Only make changes if your church has asked you to manage access.

## Plan and run church services

### Events

Use **Events** to manage church-wide and department gatherings and see who is coming. Choose the church or a department from **Scope**, then filter the list by date or status and switch between the available views.

Staff with event-management access can create and edit events, review RSVPs, and manage event details. An event may be visible to one department or to the whole church depending on its scope and settings. Use **When** to filter by **Upcoming**, **Past**, or **All**, and switch between **Card**, **Table**, and **List** views. See [Create and manage an event](/portal/events) for event setup, sessions, registrations, and check-in.

### Programs

Use **Programs** to plan services, work with service templates, and set recurring schedules. From the **Programs** tab, staff with access can create or edit a program, link it to an event, manage its segments, and publish, unpublish, or archive it. Use **Templates** to create or manage reusable service plans. Follow [Programs and templates](/portal/programs-and-templates) to create a service plan and schedule it on Rota.

### Rota

Use **Rota** to review serving duties and assignments. In a department, switch between **Upcoming** and **History**, and choose **All** or **My rota** when you want to see the full team or only your assignments. See [Create a serving schedule in Rota](/portal/rota) for assigning people and syncing your personal rota to a calendar.

Depending on your access, you can manage duties, set availability, and respond to swap requests. Rota also offers calendar options, including a subscription link or connected calendar when available.

### Workflows

**Workflows** tracks department work through stages. Transitions define where an item can move, fields provide data for rules, and rules run actions when their triggers and conditions match. Staff with workflow-management access can create items and manage stages, rules, and publishing. See [Set up and use Workflows](/portal/workflows) for the full workflow, from a new draft to reviewing automation runs.

Choose a workflow to see its **Board**, **Rules**, or **Logs**. A workflow must be published before its board starts tracking items.

### Approvals

Use **Approvals** to review requests that need a leader's decision. The queue can include paused workflow actions, expense approvals, and member data export or erasure requests. Choose the church-wide or department queue, then open a request and read its details before approving or rejecting it.

Each request type has a different outcome. A workflow approval runs paused actions; an expense approval may advance the request to another approval level or make it ready for payment; a data export approval queues an export. Approving a data erasure permanently deletes the member's personal data and cannot be undone.

### Kids check-in

Use **Kids check-in** to choose a service and open its check-in station. Staff with the right access can also use **Manage children** to maintain the child records available to the station.

If the service list or station is unavailable, ask your church administrator to check your access.

## Communication and care

### Announcements

Use **Announcements** to post an update to the whole church or a single department. Staff with access can create an announcement, publish it immediately or schedule it, and archive it after it is no longer current.

See [Create and manage an announcement](/portal/announcements) for draft, publish, schedule, expiry, and engagement steps.

### Messages

Use **Messages** to send a targeted update by email, push notification, SMS, or WhatsApp when that channel is available for your church. You can choose an audience, compose a message, reuse a template, schedule a send, and review delivery history. See [Send a message to church members](/portal/messages) for the full steps. SMS and WhatsApp must be connected in [Integrations](/portal/integrations) before you can select those channels.

Messages are for sending updates to selected people. Use **Announcements** when you are posting an update for members to view in the church or department feed.

### Share Kit

**Share Kit** contains ready-to-share social posts that church members can download and post on their own networks. Staff with access can create a share kit, use a brand template, and submit it for approval before it is published. Some kits also have an availability window. See [Create and publish a Share Kit](/portal/share-kit) for the full lifecycle and campaign-series workflow.

### Outreach

Use **Outreach** to manage personal ministry campaigns, contacts, prayer coverage, and related share-kit drafts. Choose an organization or department scope, then filter campaigns by status. See [Run an Outreach campaign](/portal/outreach) for the campaign, contact, prayer, and AI share-kit workflows.

### Prayer requests

Use **Prayer requests** to submit and review requests for a department, see who is praying, and coordinate follow-up on the prayer team board. Request visibility and your department role determine which requests and actions you can access. See [Manage prayer requests](/portal/prayer-requests) for the full process, privacy settings, and pipeline stages.

### Pastoral care

**Pastoral care** is for confidential care cases. The portal states that notes are encrypted and visible only to assigned pastors. Staff with access can review assigned cases and use case details to coordinate follow-up.

Keep case details within the people assigned to the case. Contact your church administrator if you need access to pastoral care.

### Moderation

Use **Moderation** to review reports submitted by members. Filter reports by status, reason, or the type of content reported, then open a report to review its details. The portal states that child-safety reports are escalated to the Faithloft safety team.

## Giving and finance

### Campaigns

**Campaigns** shows giving projects and their progress toward goals. Use it to see how active projects are progressing. To manage the underlying funds and gift records, open **Funds** in the menu, which takes you to the **Giving** workspace.

### Funds (Giving)

The **Funds** menu opens **Giving**, where staff with access can review giving reports and work with gifts, funds, and M-Pesa records. The workspace has **Overview**, **Gifts**, **Funds**, and **M-Pesa** tabs.

Use **Overview** for giving summaries, **Gifts** to filter gift records by fund, status, and date, and **Funds** to manage the funds supported by your church. Gift and fund actions depend on your access and payment setup. See [Manage funds and giving](/portal/funds) for fund setup, offline gifts, refunds, and M-Pesa statement imports.

### Accounting

Some churches use a separate **Accounting** workspace. When it is enabled and your account has access, it includes **Overview**, **Accounts**, **Funds**, **Journals**, **Periods**, **Exceptions**, **Banking**, **Budgets**, and **Reports**.

Accounting is not listed in the standard staff sidebar. If your role includes finance work but you do not have an entry point, ask your church administrator.

### Expenses

Some finance tasks are handled in **Expenses**. Depending on your access, the page can show your expenses, department expenses, finance-wide expenses, and vendors. Expense requests that need approval appear in **Approvals**.

Expenses is not listed in the standard staff sidebar. Ask your church administrator for the correct entry point if you need to submit or manage an expense.

## Church setup

### Branding

Use **Branding** to update the church identity shown in the member app and sign-in experience. Available settings include church details, logos, colours, contact information, and FAQs. Saved changes apply the next time the app or sign-in page loads; they do not require a new app release.

Some branches inherit branding from a parent organization. If the page says branding is managed by your parent organization, ask an administrator before changing it.

### Settings

Use **Settings** to manage connected services and church-wide preferences. Depending on your access, you may see **Integrations** for payments, AI, WhatsApp, or SMS; **Notifications** for delivery preferences; **Reminders** for event reminder defaults; and **Audit logs** for security-related activity. See [Connect church services](/portal/integrations) for integration setup guides.

Some integration settings require setup by your church administrator or service provider. If a connection is missing or unavailable, contact your administrator.
