# Run an Outreach campaign

> Set up an outreach campaign, privately follow up with your contacts, and track prayer and share-kit activity.

Use **Outreach** to coordinate personal ministry campaigns. A campaign gives participating staff a shared purpose and dashboard. Each person's contacts and touchpoints remain private to that person; other campaign participants cannot view them.

If **Outreach** shows no available scope, join a department where Outreach is enabled or contact your church administrator. Campaign creation and status changes depend on your access to the selected organization or department.

## Create a campaign

1. Open **Outreach** and choose **Organisation-wide** or a department from **Scope**.
2. Select **New campaign**.
3. Enter a **Name**. Add an optional **Description**, **Starts**, and **Ends** date and time.
4. Add an **AI brief (optional)** if staff may use AI to draft campaign share-kit captions. Keep it focused on the campaign message; contact details are not used by the AI drafting flow.
5. Select **Create campaign**.

The new campaign starts as **Draft**. Open it to see its dashboard, your contacts, and any campaign share kits.

## Activate and manage the campaign

On the campaign page, use **Edit** to update its name, description, dates, or AI brief. Use **Change status** to move it through the available stages:

* **Draft**: participants cannot add contacts or log touchpoints.
* **Active**: participants can add contacts, log touchpoints, and generate ad share kits.
* **Completed**: no new contacts can be added, but each contact remains visible to its owner.
* **Archived**: the dashboard keeps an aggregate snapshot, while contacts and touchpoints are permanently deleted. This cannot be undone.

Before archiving, make sure staff no longer need their individual contact or touchpoint history. The campaign dashboard reports aggregate activity such as participants, contact funnel stages, prayer coverage, answered prayers, and share-kit approval or publication counts.

Use **Status filter** on the Outreach list to find campaigns in **Draft**, **Active**, **Completed**, or **Archived** status.

## Add and follow up with your contacts

You can add contacts while the campaign is **Active**.

1. Open the campaign and go to **Your contacts**.
2. Select **Add contact**.
3. Enter the contact's **Name**. Add **Phone (optional)** and **Note (optional)** if useful for your follow-up.
4. Select **Add contact**. The contact is private to you.
5. Select the contact row to open its details. Use **Edit** to update its details or choose a stage.
6. Use the stage stepper to record progress through **Contacted**, **Visited**, **Attended**, and **Joined**. If follow-up should stop, select **Close contact…**, choose a reason, and select **Confirm**.

In the contact details, use **Log a prayer** to add a prayer touchpoint. The activity history also lets you record a **Call**, **Message**, **Visit**, **Invite**, or **Other** touchpoint, with an optional note. When you learn that a prayer has been answered, select **Mark answered…**, add an optional note, and select **Confirm**.

Use **Delete contact** only when the contact should be removed entirely. Deleting permanently removes that contact and every touchpoint logged against them.

## Generate an outreach share kit

Campaign managers can create a draft for review from an **Active** or **Completed** campaign.

1. In the campaign's **Share kits** section, select **Generate with AI**.
2. Add an optional **Brief** with anything extra to emphasize.
3. Choose any **Channels** you want captions for. Leave the channel list blank to request only the generic caption.
4. Add an optional **Image prompt**, then select **Generate**.
5. After the draft is created, an approver reviews it before it is published to the campaign.

The AI drafting flow uses the campaign name, description, and brief; it does not use contact details. To create or manage a non-Outreach Share Kit directly, see [Create and publish a Share Kit](/portal/share-kit). Approvers review submitted kits in **Approvals**; see [Web portal modules](/portal/modules#approvals).
