Use Events to schedule church-wide or department gatherings and see who is coming. Your role determines which scopes and management actions are available. If the scope or an action is missing, contact your church administrator.

Create an event

  1. Open Events and choose Organisation (Church-wide) or a department from Scope.
  2. Select New event.
  3. Add a Title, and optionally a Cover image and Description.
  4. Choose Where: in person, virtual, or hybrid. Enter a Location. For a virtual or hybrid event, provide the required Join link; optional meeting details can include a meeting ID and passcode.
  5. Enter Starts and, if needed, Ends. If the event’s schedule follows attached sessions, edit the session schedule instead.
  6. Optionally set Capacity. The event details show places remaining, or the default capacity per session when the event has sessions.
  7. Leave Price (optional) blank for a free event. Setting a price requires payment setup for your church; see Payment integrations. Once paid registrations exist, the price or its currency cannot be changed.
  8. If you want QR attendance, select Enable QR check-in for this event.
  9. Add registration questions if you need information from people signing up. Question types include short text, choices, yes/no, number, and image upload.
  10. Select Create event.
The event appears as Scheduled. Use Upcoming, Past, or All under When to filter the list, and choose Card, Table, or List view to browse it. Select the event to open its details. An event can be connected to a program bulletin. In the event’s Sessions section, select Add session to open Attach bulletin. You can link an existing program, start from a template, or attach a blank bulletin. An attached program provides sessions that members can choose when they RSVP. The event’s displayed schedule then follows those sessions. Programs and Rota are connected through this event schedule: see Create a program and service template to prepare the program, and Create a serving schedule in Rota to assign service duties and sync your personal rota to a calendar. Session details can show the linked bulletin and rota assignments.

Review RSVPs and registrations

On the event page, review the RSVPs totals for Going, Maybe, and Declined, and see the names and answers in Attendee register. From the event list, select View RSVPs in the event actions menu or select the RSVP counts to open the list directly. When an event has sessions, RSVP responses can be grouped by session; event-wide responses are also shown with the sessions. If you added registration questions, you can use Export answers (CSV) from the event page. After people have answered, the question types, labels, and options may be locked to preserve their responses. For a paid event, select Registrations to review payment status and answers. Where the registration can be refunded, use Refund to return the payment to its original method. A Copy payment link action is also available on paid events.

Prepare QR check-in

For an event with QR check-in enabled, open its QR check-in section and select Show check-in QR. Members scan this code in the app to mark themselves present. Staff with attendance access can search for a member in Check-in station and select Mark present if needed. The check-in view can also display recent attendance, regenerate or revoke a code, and download a CSV. The event page may also offer visitor check-in tools for the session. Collect phone or email details only when the visitor agrees to be contacted. If QR check-in is unavailable, check the event setup and your attendance access with your church administrator.

Update or cancel an event

Use Manage on the event page to Edit, Cancel event, or Delete it. Editing event details does not remove existing member RSVPs. Cancelling marks the event cancelled and makes it unavailable for normal RSVP actions; deleting removes the event. Confirm the event and scope before using either action. Use Create share kit in the event’s Share kits section to prepare a social post tied to the event. That Share Kit still needs approval before members can see it. See Create and publish a Share Kit.
